Data protection and security
Where is our data held, and how is it protected?
Records, files and sign-in are held in Ireland (EU), and the website runs from Vercel's London region. Data is encrypted in transit (TLS) and at rest (AES-256), each organisation's records are kept apart at database level by row-level security, and the database is backed up daily.
How does Daymello support our UK GDPR responsibilities?
Access is set by role, every action on a record is kept in the audit trail, and a subject access request can be answered by exporting everything held about one person as a file. You can download a full copy of your organisation's data at any time, and our sub-processors are listed publicly, with 30 days' notice of any change.
Can we take our data with us if we leave?
Yes. An administrator can make a full copy of your organisation's data and download it, and leaving is handled as its own case that records when you received your data.
Who can see which records?
Each person works within their role: administrator, manager, designated safeguarding lead, data protection officer or practitioner. What a role can see and do is fixed by that role, and every change to a person's roles is audited.
How is signing in secured?
Two-step sign-in with an authenticator app is available to every user, and once your organisation switches it on it is required of administrators and safeguarding leads. Passwords must be at least 12 characters, and anyone left idle is signed out after three hours.
Safeguarding
How are safeguarding concerns raised and managed?
A mentor raises a concern from the same screen as the session write-up, on the tablet or the web. Concerns are graded from level 1 to level 4 and reach your designated safeguarding lead's queue, where they are owned, actioned and followed through as case work, with the full history kept.
Can we use our own safeguarding forms and contacts?
Yes. Your safeguarding contacts and areas are set up from day one, and your administrators can change what the incident and safeguarding forms ask for, so the record matches your own policy.
Getting started
Who is Daymello for?
Teams supporting young people outside mainstream school: youth mentoring charities, alternative provision schools and youth projects working with councils. Each one sets the platform up around its own day, its own forms and its own commissioners.
Can we bring our existing records across?
Yes. Your administrators can bring spreadsheets in with the Import Studio, which reads the file, lets you say what each column means and shows what will happen row by row before anything is saved. We work through the first import with you as part of setting up.
Can the platform follow the way we already work?
Yes. Each organisation sets its own courses, awards, learning plans, write-up form and wording, as well as its places, term dates and commissioners. The platform fits your provision rather than the other way round.
Is training included?
Yes. We set your team up and walk you through it, and your team has a signed-in help centre with step-by-step guides for every task, from booking a session to countersigning a write-up. Questions come straight to hello@daymello.com.
Using it every day
Which devices does it work on?
The web platform runs in any up-to-date browser on a desktop or laptop, and mentors have the Android app on a tablet for planning, attendance and write-ups during the session.
What reporting do commissioners and funders get?
Attendance, goals, outcomes and progress come from the sessions you record. You can build and save reports, turn them into a dashboard to share with a funder, produce half-term reports, and give a commissioning authority access to exactly the view meant for them.
How is Daymello priced?
Pricing is set for your organisation rather than per seat, depending on its size and what you use. We give you a clear quote after the walkthrough, with no obligation.
